This Privacy Policy explains how ComplyChase AI handles personal data when people use our website, free tools, upload links, and SaaS workspace.

What ComplyChase AI does

ComplyChase AI helps accountants, bookkeepers, and document-heavy firms request client documents, collect uploads, track expiry dates, send reminders, and keep proof records.

The product does not provide legal, tax, accounting, AML, GDPR, or compliance advice.

Information we collect

Account details such as name, email address, firm name, role, workspace name, and login activity.

Client and document metadata such as client name, company name, document type, document status, due date, expiry date, reminder status, and audit log entries.

Uploaded files and proof documents when a workspace user or invited client uploads them through the product.

Free tool lead details such as email address, optional name, optional firm name, optional role, selected tool, consent choice, IP address, and user agent.

Billing and subscription references from our payment provider. We do not store full payment card details.

How we use information

To provide secure upload links, document checklists, proof storage, reminders, reports, activity logs, and workspace access.

To show usage limits, prevent duplicate reminders, troubleshoot errors, improve onboarding, and support customer requests.

To send product updates only where a person has consented or where there is another appropriate business reason to contact them.

Storage and security

Documents should be stored outside the database in private file storage. Database records store metadata such as file path, status, size, expiry date, and activity logs.

Downloads should use signed temporary URLs. Public document URLs should not be used.

Access is workspace-based and should be limited to authorised users.

AI and OCR

AI/OCR may be used to suggest document type, expiry date, issue date, company name, reference number, and confidence score.

AI suggestions should be confirmed, edited, or rejected by a human user before they are saved as deadlines or relied on inside the workspace.

Retention

Workspace records are kept while the account is active unless deletion is requested or required.

Generated free tool files and temporary OCR text should be deleted on a short retention schedule where technically practical.

Activity logs may be retained for operational and audit trail purposes.

Your choices

You can ask to access, correct, export, or delete personal data where applicable.

Marketing consent can be withdrawn at any time by using unsubscribe instructions or contacting us.
